In short

How do I automatically follow up with customers who have not collected their repaired bike?

Every morning, WebRun checks Lightspeed Retail for completed repairs that have been waiting more than three days uncollected, drafts a polite follow-up notice for each customer in Gmail, and posts a prioritised list to Slack. Staff review and send the drafts, freeing up workshop space without manual chasing.

  • Workshop space is freed faster without staff manually chasing every customer
  • Long-waiting jobs are flagged first so staff can prioritise the most overdue collections
  • No reminder goes to a customer without a staff member reviewing it first

Questions, answered

Will it send collection reminders to customers automatically?

No. WebRun drafts every reminder and saves it in Gmail. A staff member must review and send it before the customer sees anything.

How many days does it wait before flagging a repair as uncollected?

The default is 3 days after the ready notification. You can ask WebRun to use a different threshold to match your shop policy.

What if a customer already responded and arranged collection?

Staff should update the ticket status in Lightspeed Retail when a customer confirms. WebRun only processes jobs still showing Ready with no recent activity, so updated tickets are skipped.

Put this on autopilot.
