How do I automatically send service appointment reminders to bike shop customers?
Every afternoon, WebRun opens Ascend by Trek and finds all service appointments scheduled for the following day. It drafts a personalised reminder email in Gmail for each customer and posts a Slack list so staff can review and send before closing time, cutting no-show rates by confirming each booking the day before.
- No-show rates drop because every customer gets a reminder the afternoon before their appointment
- Staff see the full next-day booking list in Slack each afternoon without opening the scheduler
- Bookings with missing email addresses are flagged so staff can call those customers instead

Questions, answered
Will it send the appointment reminder to the customer without staff checking it first?
No. Every reminder is saved as a Gmail draft and staff must review and send it. No message reaches a customer without a human approving it.
What does the appointment reminder include?
The customer name, appointment date and time, service type, and your shop address, all pulled from Ascend by Trek. You can add any preparation instructions or a rescheduling contact in the template.
What happens if a customer cancels after the reminder is drafted?
Staff should check the Slack list before sending. Any appointment cancelled in Ascend by Trek after the draft was created will appear in Ascend with a cancelled status, so staff can discard that draft before sending.
