Close the loop on consult reports to referring OBs
Each morning, WebRun opens Sonio, finds finalized consult reports that have not yet been sent back to the referring OB, drafts a cover note and fax in Gmail for a clinician to approve and send, and posts a Slack tracker of what is drafted and what is still open, so no referral loop stays unclosed.

How do I make sure consult reports get back to referring OBs?
WebRun opens Sonio each morning and finds finalized consult reports that have not gone back to the referring OB. It drafts the cover note and fax in Gmail, left unsent for a clinician to approve and send, and posts a Slack tracker of open and drafted loops, so every referral is closed without data leaving unapproved.
- Referring OBs get the consult report instead of chasing for it
- Clinicians send from a ready cover note rather than assembling each fax
- No protected health information goes out without human approval
Built for maternal-fetal medicine specialists · MFM referral coordinators · high-risk OB clinics · prenatal consult services
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
app.sonio.aiin a real browser with your saved login - no setup, no API keys. -
1
Sonio - find consults not yet sent back
WebRun opens Sonio to find consults whose report has not gone back yet. - Open Sonio and list finalized consult reports from referred patients
- For each, check whether the report has already been returned to the referring OB
- Keep only consults where the report has not yet gone back
- Capture patient initials, the referring OB, the report date, and the destination fax or email
Done when Every finalized consult with no report sent back to the referring OB is identified.
-
2
Gmail - draft the cover note and fax
WebRun drafts each referring-OB cover note in Gmail, left unsent for approval. - Draft a short, professional cover note in Gmail addressed to each referring OB
- Prepare the report to go out by your email-to-fax address, and share no protected health information until a clinician approves it
- Leave every message as an unsent draft for a clinician to review, attach the final report, and send. Do not send anything automatically
Done when A cover note and fax are drafted in Gmail for each open consult, awaiting clinician approval.
-
3
Slack - track the referral loop
WebRun posts an internal tracker of open and drafted consult loops. - Post an internal Slack tracker to the MFM coordination channel
- List each open consult with its referring OB and whether a draft is ready, using patient initials only
- Flag consults finalized more than a few days ago that still have no report out
Done when The team has a Slack tracker showing which consult loops are drafted and which are still open.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it fax a report to the referring OB without a clinician?
No. WebRun drafts the cover note and prepares the fax, then leaves it unsent. A clinician reviews it, attaches the final report, and sends it, so no protected health information leaves the clinic without human approval.
How does it know a report has not been sent yet?
It reads each finalized consult in Sonio and checks whether the report has already been returned to the referring OB. Only consults with no report out get a draft, so nothing is sent twice.
What does the Slack tracker include?
An internal list of open consult loops with the referring OB, whether a draft is ready, and patient initials only. It flags consults finalized several days ago with no report out, so nothing sits forgotten.
