Prep consent packets for upcoming amniocentesis visits

Each morning, WebRun opens Sonio, finds patients scheduled for an amniocentesis or CVS in the coming days, prepares the correct consent packet as a DocuSign envelope, and drafts a Gmail note to each patient, all left unsent so a clinician reviews and sends every packet.

In short

How do I prepare amniocentesis consent packets before the visit automatically?

WebRun opens Sonio each morning and finds patients scheduled for an amniocentesis or CVS. It assembles the correct DocuSign consent envelope and drafts a Gmail note for each, all left unsent, so a clinician reviews the template, signers, and wording and sends every packet ahead of the visit.

  • Consent packets are ready before the procedure visit, not scrambled that morning
  • Clinicians review a prepared envelope instead of building each one by hand
  • Patients already prepared are skipped so no duplicate consent goes out

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.sonio.ai in a real browser with your saved login - no setup, no API keys.

  2. 1
Sonio - find upcoming procedure patients
    sonio.ai How to Automate Sonio
WebRun in Sonio: find upcoming procedure patients
WebRun opens Sonio to find patients scheduled for an invasive procedure.
    • Open Sonio and list patients scheduled for an amniocentesis or CVS in the next several days
    • Read the procedure type, the scheduled date, and the responsible clinician for each
    • Skip any patient whose consent packet is already prepared or completed
    • Capture patient initials, procedure type, date, and gestational age for each

Done when Every upcoming amniocentesis or CVS patient without a packet yet is listed with their procedure details.

  3. 2
DocuSign - assemble the consent packet
    docusign.com How to Automate DocuSign
WebRun in DocuSign: assemble the consent packet
WebRun assembles each consent envelope in DocuSign, saved as an unsent draft.
    • In DocuSign, select the correct consent template for the procedure type
    • Prepare an envelope with the patient and clinician as signers and the visit date filled in
    • Do not send the envelope; save it as a draft for a clinician to review the contents and recipients
    • Confirm the right template and signer order for each packet

Done when A draft consent envelope is prepared in DocuSign for each upcoming procedure, ready for review.

  4. 3
Gmail - draft the patient note
    gmail.com How to Automate Gmail
WebRun in Gmail: draft the patient note
WebRun drafts each patient note, left unsent for the clinician.
    • Draft a short Gmail note to each patient noting the upcoming visit and that a consent form will follow
    • Use a first name only and keep the note free of diagnostic or clinical detail
    • Leave every note as an unsent draft for a clinician to review and send alongside the DocuSign packet. Do not send anything automatically

Done when A patient note is drafted in Gmail for each prepared packet, awaiting clinician review.

Questions, answered

Will it send a consent form to a patient without a clinician?

No. WebRun prepares the DocuSign envelope and the Gmail note as drafts and stops. A clinician reviews the template, the signers, and the wording, then sends the packet, so no consent request reaches a patient on its own.

How does it pick the right consent template?

It reads the procedure type in Sonio, an amniocentesis or a CVS, and selects the matching DocuSign template your clinic has set up. You map each procedure type to its template once in the plan.

What if a packet was already prepared for that patient?

It is skipped. WebRun checks whether a consent packet is already prepared or completed before building a new one, so patients never receive a duplicate envelope.
