In short

How do I win back gym members who stopped showing up?

Every Monday, WebRun opens Zen Planner, runs the attendance report, and finds active members who have not checked in for 30 days. It drafts a warm win-back message to each one in Gmail, leaves the drafts unsent for your team, and posts a Slack list ordered by longest absence, so quiet members get a nudge before they cancel.

  • Quiet members surface every week, long before they cancel
  • Each win-back note is drafted and waiting, so your team just reviews and sends
  • At-risk members get a personal nudge instead of slipping away

Questions, answered

Will it message lapsed members on its own?

No. WebRun only drafts each win-back message in Gmail and leaves it unsent. Your team reads every draft and clicks send, so no member hears from you without a person approving the message first.

How does it decide who has lapsed?

It runs the attendance report in Zen Planner each week and flags members who still hold an active membership but have not checked in for 30 days. You can widen or tighten that window to match how your gym defines at-risk.

Will it cancel anyone or change their membership?

No. WebRun only reads attendance and drafts a friendly note. It never cancels, refunds, or edits a membership. Any change to a member's plan stays with your team inside Zen Planner.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
