Recover failed membership payments before access lapses

Every morning, WebRun opens Glofox, runs the Failed Payment report, drafts a polite message to each member whose card was declined asking them to update their payment details in Gmail, leaves every draft unsent for the front desk, and posts your team a Slack list of failed payments to recover.

In short

How do I recover failed gym membership payments?

Every morning, WebRun opens Glofox, runs the Failed Payment report, and lists each member whose membership card was declined with the amount and failure date. It drafts a polite update-your-card message to each one in Gmail, leaves the drafts unsent for the front desk, and posts your team a Slack recovery list, largest or oldest first.

  • Declined payments surface every morning, before access quietly lapses
  • Each recovery note is drafted and waiting, so the front desk just reviews and sends
  • More failed charges get fixed instead of turning into lost members

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.glofox.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Glofox - pull the failed payments
    glofox.com
WebRun in Glofox: pull the failed payments

    • Open Glofox and run the Failed Payment report under revenue reports
    • Capture each member with a declined membership payment, the amount, and the failure date
    • Note any payment already retried successfully so it is not chased twice

Done when Every member with an outstanding failed payment has been listed with the amount.

  3. 2
    Gmail - draft update-card messages
    gmail.com How to Automate Gmail
WebRun in Gmail: draft update-card messages
WebRun drafts an update-your-card message for each failed payment and leaves it unsent.
    • Draft a polite, on-brand message to each member noting the payment did not go through
    • Ask them to update their card so their membership and bookings continue uninterrupted
    • Save every message as a draft and leave it unsent for the front desk to review

Done when A recovery draft sits ready in Gmail for every failed payment.

  4. 3
Slack - report payments to recover
    slack.com How to Automate Slack
WebRun in Slack: report payments to recover
WebRun posts the day's failed-payment recovery list to Slack.
    • Post your team a list of members with a failed payment and the amount outstanding
    • Put the largest or oldest failures first so the front desk follows up on those
    • Note that the recovery drafts are waiting in Gmail for review

Done when Your team has today's failed-payment recovery list in Slack.

Questions, answered

Will it email members about money on its own?

No. WebRun only drafts each recovery message in Gmail and leaves it unsent. Your front desk reads every draft and clicks send, so no payment message goes out without a person approving the wording first.

Does it charge cards or take payments?

No. WebRun never touches a card or moves money. It only reads the Glofox Failed Payment report and drafts a message asking the member to update their details. The member updates their own card and Glofox retries the charge.

How does it avoid chasing a payment that already cleared?

It reads the live Failed Payment report each morning, so any payment Glofox has since retried successfully drops off the list and that member is not contacted.

Put this on autopilot.
