Know which kegs are running low before you run out mid-service

Every morning, WebRun opens SpotOn's draft beer inventory, reads current levels and recent sales velocity for each keg, estimates days remaining at the current pour rate, and sends a Telegram message to the bar manager listing any keg projected to run out within two days.

In short

How do I get automatic keg depletion alerts from my bar POS?

WebRun reads SpotOn draft beer inventory every morning, calculates each keg's depletion rate from the prior three days of sales, and sends a Telegram alert to the bar manager with a ranked list of any keg likely to run out within two service days. Kegs are ordered in depletion sequence so the manager prioritizes the most urgent first.

  • No keg runs out mid-service because the manager had a morning alert two days earlier
  • Fastest-depleting kegs are ranked first so ordering is prioritized correctly
  • All-clear nights are confirmed automatically, eliminating daily manual keg checks

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.spoton.com in a real browser with your saved login - no setup, no API keys.

  2. 1

    • Open SpotOn and navigate to Inventory, then filter to draft beer and keg items
    • Read the current on-hand quantity for each keg line
    • Pull the sales volume for each draft product over the past three service days to establish pour rate
    • Calculate the estimated days remaining for each keg at the current average daily pour rate
    • Flag any keg where days remaining is two or fewer

Done when All keg levels and depletion estimates are calculated and flagged items are identified.

  3. 2
Telegram - send depletion forecast alert to bar manager
    telegram.org How to Automate Telegram
WebRun in Telegram: send depletion forecast alert to bar manager
WebRun opens Telegram to send depletion forecast alert to bar manager.
    • If all kegs have more than two days of stock, send a short all-clear message
    • If any kegs are flagged, send a list with the keg name, current level, and estimated days remaining
    • Sort the list with the soonest-to-deplete keg first so the manager orders in priority sequence

Done when Bar manager has received the keg depletion alert or all-clear in Telegram.

Questions, answered

Does it automatically place a keg order with the distributor?

No. WebRun sends an internal Telegram alert to the bar manager identifying what needs to be ordered. The actual purchase order with your beer distributor is placed by the manager, not by WebRun.

How accurate is the depletion estimate?

The estimate is based on the average daily pour volume from the prior three service days. Accuracy improves on consistent volume weeks. For event nights or unusual volume, the manager should review the estimate in context.

Can it track nitro taps and specialty kegs separately from core beers?

Yes. Each keg line tracked in SpotOn inventory is handled individually. Nitro and specialty kegs can have their own reorder points and will appear as separate line items in the alert.
