Stop leave requests from sitting unapproved
Every morning, WebRun opens Zoho People, lists the leave requests still waiting on an approver, works out how long each has waited and how close the requested dates are, drafts a short Gmail nudge to every manager holding one up, and updates an Airtable queue so HR can see the whole backlog in one view.

How do I chase managers who have not approved leave requests?
WebRun opens Zoho People every morning, lists the leave requests still waiting on an approver, and works out how long each has waited and how soon the leave starts. It drafts a Gmail nudge for every manager holding a request and keeps an Airtable queue current so HR sees the whole backlog.
- Leave requests stop sitting unanswered for a week
- Requests starting within seven days are marked urgent every morning
- Repeat approval bottlenecks are visible per manager in Airtable

What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

WebRun signs in and gets to work

1
Zoho People - find leave requests still pending
WebRun opens Zoho People to find leave requests still pending. - Open Zoho People and go to the Leave Tracker
- Filter the requests to pending approval
- Capture the employee, leave type, requested dates, number of days, the approving manager, and the date the request was raised
- Work out how many working days each request has waited and how many days remain before the leave starts
- Mark as urgent any request whose leave begins within seven days
Done when Every pending leave request is listed with its approver, waiting time, and urgency.
-
2
Gmail - draft a nudge to each approver
WebRun opens Gmail to draft a nudge to each approver. - Draft one short email per approving manager listing the requests they are holding
- Give each line the employee, the dates, the days waiting, and a direct note when the leave starts within a week
- Keep the tone neutral and factual, and address only the manager, never the employee
- Leave every message in Drafts for HR to review and send. WebRun does not send these emails itself
- Skip managers who were nudged within the last two days
Done when A nudge draft is waiting in Gmail for every manager with pending requests.
-
3
Airtable - keep the pending queue visible
WebRun opens Airtable to keep the pending queue visible. - Open your HR base and update the pending leave queue, one row per request
- Set the days waiting, the urgency flag, and the date of the last nudge on each row
- Mark rows as cleared when the request no longer shows as pending in Zoho People
- Roll up the count of pending requests per manager so repeat bottlenecks are obvious
Done when The Airtable queue matches Zoho People and shows pending counts by manager.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it approve or reject leave?
No. WebRun reads the Leave Tracker and reports what is pending. It never approves, rejects, cancels, or edits a request, so every decision stays with the manager inside Zoho People.
Will it email managers on its own?
No. Each nudge is left in Gmail Drafts for HR to review and send. Only the internal Airtable queue is updated automatically, because it is visible to your own team.
Does it contact the employee who asked for leave?
No. The nudges address the approving manager only. Employees are named in the internal queue so HR has context, but WebRun never emails or messages them about their request.
