Draft follow-up visit reminders for vein patients who are due

Every morning, WebRun opens OmniMD, finds vein patients due or overdue for a follow-up visit, drafts a personalized reminder email for each in Gmail, and posts your front desk a Slack list to review, so reminders reach patients only after a staff member approves them.

In short

How do I automatically remind vein patients who are due for a follow-up?

WebRun finds vein patients due or overdue for a follow-up in OmniMD every morning and drafts a personalized reminder email for each in Gmail. It posts your front desk a Slack list to review, so patients get a timely nudge to rebook while every email waits for a staff member to approve before it sends.

  • Overdue follow-ups get a timely nudge instead of being forgotten
  • Patients with a future booking are skipped automatically
  • No reminder emails a patient without a staff member approving it

Questions, answered

Will it email patients without my review?

No. Every reminder is saved as a Gmail draft and never sent on its own. Your front desk reviews each in Slack and only approved emails go out, so no patient is contacted without a human approving it first.

How much clinical detail does the reminder include?

Very little. The draft invites the patient to book a follow-up and names only the general reason, keeping protected health information minimal, and a staff member can edit the wording before sending.

What if the patient already has a follow-up booked?

It reads the live schedule in OmniMD each morning, so any patient with a future follow-up appointment is skipped and no duplicate reminder is drafted.
