Find the chat accounts nobody has used in months

Every Monday, WebRun opens Trillian, reads every provisioned user with their last activity date and the groups they belong to, records the dormant accounts in Notion, and raises a Trello card for each one so leavers get deprovisioned and the seat count matches the headcount.

In short

How do I find inactive chat accounts that should be deprovisioned?

WebRun audits your Trillian accounts every Monday. It reads each provisioned user's last activity date and group memberships, records the dormant ones in Notion, and raises a Trello card per account, so leavers are deprovisioned and your seat count matches your actual headcount.

  • Leavers stop holding live chat access weeks after they go
  • Seat counts match headcount instead of drifting upward
  • Every dormant account is reviewed with its group exposure visible

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens trillian.im in a real browser with your saved login - no setup, no API keys.

  2. 1
Trillian - find accounts with no recent activity

    • Sign in to Trillian and open the list of provisioned user accounts
    • Capture each user with their last activity or presence date and the groups they belong to
    • Flag every account with no activity for longer than the window you set, usually 60 or 90 days

Done when Every provisioned account has a last activity date and a dormant or active verdict.

  3. 2
Notion - record the dormant accounts

    • Open the IT access register in Notion
    • Add or update a row per dormant account with the username, days idle, and the groups it still sits in
    • Mark accounts removed since last week as closed so the register reflects today's estate

Done when Notion holds a current row for every dormant Trillian account.

  4. 3
Trello - raise a deprovisioning card

    • Add a card per dormant account to the IT offboarding board
    • Put the username, days idle, and group memberships on the card so the review needs no lookup
    • Leave every removal to an admin. WebRun never disables, deletes, or edits an account

Done when Every dormant account has a card waiting for an admin decision.

Good to know

Questions, answered

Will it disable or delete an account?

No. Removing access is irreversible, so WebRun stops at the card. It gives an admin the username, the idle days, and the group list, and the admin performs the removal themselves.

How long is too long without activity?

You set the window, commonly 60 or 90 days. Accounts inside the window never appear, so the weekly card list stays short enough that every item actually gets reviewed.

Why does it list group memberships?

Because a dormant account still sitting in a group can still receive internal conversations. Seeing the groups tells you how much exposure the account carries before you decide.

Put this on autopilot.
