In short

How do I turn overnight job applications into a daily shortlist?

WebRun opens Totaljobs each morning, reads every application that landed overnight, and checks each CV against what the ad asks for. It writes a ranked shortlist into Notion and opens a Trello card for each candidate worth calling, so strong applicants get a same-day reply.

  • Strong applicants get a reply the same day instead of next week
  • The hiring manager opens one ranked shortlist each morning
  • Every application is read and recorded, even on a busy ad

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.totaljobs.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Totaljobs - read overnight applications
    • Open Totaljobs and list every live job ad
    • For each ad, collect the applications received since the last run
    • Capture the candidate name, the role applied for, the application date, and the current application status
    • Open each candidate CV and note their recent experience, location, and notice period

Done when Every application that arrived overnight has been read and captured with its CV details.

  3. 2
Notion - build the ranked shortlist
    notion.so How to Automate Notion
WebRun in Notion: build the ranked shortlist
WebRun opens Notion to build the ranked shortlist.
    • Add a row per candidate to your hiring database with the role, source, and application date
    • Rank the list by how closely the CV matches the requirements on the ad
    • Write a one-line reason for each ranking so the hiring manager can sanity check it
    • Skip anyone already recorded from an earlier run so nobody is listed twice

Done when Notion holds today's ranked shortlist with a reason against every candidate.

  4. 3
Trello - open a card per candidate to call
    trello.com How to Automate Trello
WebRun in Trello: open a card per candidate to call
WebRun opens Trello to open a card per candidate to call.
    • Open a card on the hiring board for each candidate above your shortlist bar
    • Put the role, the ranking reason, and a link back to the Notion row on the card
    • Set the card due date to today so strong candidates get a same-day reply
    • Leave every candidate reply for a human. WebRun never contacts an applicant on its own

Done when The hiring board has one dated card per shortlisted candidate.

Questions, answered

Will it reply to candidates or reject anyone?

No. WebRun only ranks and records applicants in Notion and Trello. Every reply, invitation, and rejection is left for a human to send, so no candidate ever hears from an automation.

How does it decide who makes the shortlist?

It compares each CV against the requirements written on your own Totaljobs ad, then writes a one-line reason next to the ranking so you can check its logic and move anyone it placed wrongly.

What stops the same candidate appearing twice?

WebRun checks the Notion database before adding a row, so anyone captured on an earlier run is skipped even if they apply to a second ad.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
