Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.rainpos.com in a real browser with your saved login - no setup, no API keys.

    • Capture the customer name, email, instrument description, ticket number, intake date, and current status for each
    • Flag any work order marked as waiting on a part separately from those in active repair

Done when All stalled or overdue repair work orders are listed with customer and ticket details.

    gmail.com How to Automate Gmail

WebRun opens Gmail to draft status update email for each waiting customer.
    • Draft a friendly status update email for each waiting customer naming their instrument and ticket number

    • For parts-waiting tickets, mention the delay is due to a pending part with a brief note
    • Save all emails as Gmail drafts. Do not send any message automatically

Done when Status update drafts are saved in Gmail for every overdue work order, none sent, ready for technician review.

Questions, answered

Will it email customers automatically?

No. Every status update is saved as a Gmail draft for your technician to review. No customer is contacted until a human approves and sends the message.

What if a repair is waiting on a part from a supplier?

WebRun detects the parts-waiting status in RAIN POS and drafts a slightly different email explaining the delay, so customers always have an honest, specific update.

How does it know the estimated completion date?

It checks Google Calendar for any repair completion events the technician has scheduled. If none exists, the draft notes that the technician will follow up with a confirmed date.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
