In short

How do I make sure a new hire has a working phone on day one?

Every Monday, WebRun opens the Intermedia admin panel and checks what each starter joining in the next two weeks already has: a user account, an extension, a number, voicemail, a call queue and a license. It raises a Trello card listing the gaps and posts readiness to Slack.

  • Nobody spends their first morning without a working phone
  • Every starter has a card naming exactly what is left to configure
  • Anyone starting this week with nothing set up is called out by name

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens admin.intermedia.net in a real browser with your saved login - no setup, no API keys.

  2. 1
Intermedia - check what is already set up
    intermedia.com
WebRun in Intermedia: check what is already set up
WebRun opens Intermedia to check what is already set up.
    • Open the Intermedia admin panel and take the starters due in the next two weeks from your onboarding board
    • For each starter, check whether a user account exists and which license it holds
    • Check the extension, the direct number, and whether voicemail has been set up
    • Check the call queues and groups the role should belong to, and note which are missing

Done when Every upcoming starter has a checked list of what exists and what does not.

Trello - raise a card per starter

    • Create or update a card per starter on the onboarding board
    • List the items already configured and the ones still missing, with the start date on the card
    • Order the board by start date so the closest arrival sits at the top
    • Leave provisioning to the admin. WebRun never creates a user, assigns a license, or buys a number

Done when Every starter has a card showing exactly what is left to configure.

  4. 3
Slack - post the readiness list
    slack.com How to Automate Slack
WebRun in Slack: post the readiness list
WebRun opens Slack to post the readiness list.
    • Post the readiness list to the IT channel with the nearest start date first
    • Show each starter as ready or short, and name the missing items
    • Call out anyone starting within the week who still has nothing configured

Done when The IT channel knows who is ready to work and who is not.

Questions, answered

Will it create the user and assign a license?

No. WebRun reads the admin panel and reports what is missing. It never creates a user, assigns or buys a license, claims a number, or changes a call queue, because each of those costs money or changes billing.

Where does the starter list come from?

From your onboarding board in Trello, so HR adds a starter and a start date once and the check picks it up on the next run without anyone maintaining a second list.

Does it message the new starter?

No. Nothing goes to the starter. The output is an internal Trello card and a Slack post that only your IT and operations team see.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
