Get write off requests approved before they go stale

Every morning, WebRun opens Waystar, finds denials your team has recommended for write off, emails the approving manager an Outlook request naming the claim, amount, and reason, and posts a Slack nudge if a request has sat unapproved for 3 days, so write offs get an actual decision instead of aging silently.

In short

How do I get write off requests approved faster in Waystar?

Every morning, WebRun opens Waystar, finds denials recommended for write off, and emails the responsible manager an Outlook approval request naming the claim, amount, and reason. If a request sits unapproved for 3 days, it posts a Slack nudge with the total dollars pending. WebRun never executes a write off itself, it only drives the approval decision forward.

  • Write off requests get a manager decision within days instead of aging for weeks
  • Every request states the amount and reason so approval takes seconds, not a Waystar lookup
  • Total dollars pending approval are visible in Slack instead of hidden in a queue

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.waystar.com in a real browser with your saved login - no setup, no API keys.

    • Open Waystar and find denials marked as recommended for write off by your billing team but not yet approved
    • Capture the claim, payer, denial reason, amount, and the date the write off was recommended
    • Note which manager is responsible for approving write offs at that dollar level

Done when Every recommended, unapproved write off is captured with its amount and the responsible approving manager.

    • Draft an internal Outlook approval request to the responsible manager for each recommended write off
    • State the claim, amount, and reason clearly so the manager can decide without opening Waystar first
    • Send it as a routine internal request. WebRun never executes the write off itself, only requests the approval

Done when The responsible manager has an Outlook approval request for every recommended write off.

WebRun in Slack: nudge on stale requests
WebRun opens Slack to nudge on stale requests.
    • Check which write off requests remain unapproved after 3 days
    • Post a Slack nudge to the responsible manager listing the stale requests and their dollar amounts
    • Total the dollar amount sitting in unapproved write off requests

Done when Every write off request unapproved after 3 days has been nudged in Slack with its amount.

Questions, answered

Does WebRun ever process the write off itself?

No. It only requests approval from the responsible manager and nudges when a request goes stale. Marking a claim as written off in Waystar is an approval decision made by your manager, not an action WebRun takes.

How is the approving manager chosen for each request?

By the dollar amount and the approval routing already set up in Waystar, so a small balance and a large balance go to whichever manager your organization has designated for that threshold.

What happens to a request approved after the 3 day nudge?

Once the manager approves it and the status changes in Waystar, it drops off the next check for stale requests, so an already approved write off will not get a duplicate nudge.
