How do I track new hire onboarding before their start date?
Every morning WebRun signs into G-P, lists the new hires with a start date approaching, and checks which onboarding steps and contract documents are still open. It posts the blocked hires to Slack and drafts a Gmail nudge for whoever owns each step, so nobody misses their start date.
- Hires at risk of missing a start date surface daily
- Every open step names its owner
- Nudges are drafted, never sent without a human

1
G-P - check onboarding against start dates
WebRun opens G-P to check onboarding against start dates. - Sign into G-P and list every new hire whose start date falls inside your warning window
- For each hire, read which onboarding tasks and contract steps are complete and which are still open
- Note the country, the start date, and how many days are left
Done when Every upcoming hire has a list of open steps and days to start date.
-
2
Slack - post the blocked hires
WebRun opens Slack to post the blocked hires. - Post today's blocked hires to your people ops channel, fewest days remaining first
- Under each hire, name the open step, its owner, and the country it applies to
- Mark any hire whose start date is inside a week and still has steps open
Done when The people ops channel has today's list of hires at risk.
-
3
Gmail - draft a nudge for each owner
WebRun opens Gmail to draft a nudge for each owner. - Compose a short nudge to the owner of each open step, naming the hire and the deadline
- Group several open steps for the same owner into one message rather than many
- Leave every message in drafts for a human to send. WebRun emails nobody on its own
Done when A nudge per owner is waiting in Gmail drafts, unsent.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it email the new hire or the step owner directly?
No. Every nudge is left as a Gmail draft for a person to review and send. WebRun never emails a new hire, a manager, or a country contact on its own.
Does it change anything in G-P?
No. WebRun reads onboarding status and contract steps and reports on them. It never marks a task complete, uploads a document, or edits an employment record.
How far ahead does it look?
As far as you set, commonly 30 days. Hires outside that window stay off the list, so the daily post shows only the people whose start date is genuinely at risk.
