How do I archive the documents people send me over chat?
Every morning WebRun opens Gadu-Gadu, goes through yesterday's conversations, and picks out every file people sent you. It files each one into a Notion archive under the sender's name with the date it arrived, and opens a Trello card for anything that needs a reply or action.
- Client documents live in folders, not chat scroll
- Every file is filed under its sender with a date
- Invoices and contracts get queued for action, not lost
Built for freelancers · small business owners · account managers · office administrators

1
Gadu-Gadu - collect files received in chat
WebRun opens Gadu-Gadu to collect files received in chat. - Open Gadu-Gadu and work through the conversations with activity since the last run
- Pick out every file sent to you, noting the sender, the filename, and the timestamp
- Read the message around each file so the archive keeps its context
Done when Every file received since the last run is identified with its sender and time.
-
2
Notion - archive them by sender
WebRun opens Notion to archive them by sender. - File each document into your archive database in Notion, grouped under the sender
- Record the filename, the date it arrived, and the line of chat it came with
- Skip anything already archived, so a re-run never files the same document twice
Done when Every new document sits in Notion under its sender with a date.
-
3
Trello - queue anything needing action
WebRun opens Trello to queue anything needing action. - Open a Trello card for any document that looks like it needs a response, such as an invoice or a contract
- Link the Notion entry and name the sender in the card title
- Leave the card for a human. WebRun never replies in chat or acknowledges the file itself
Done when Documents needing action each have a Trello card linked to the archive.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it reply to my chats?
No. WebRun reads conversations and files what it finds. It never sends a message, an acknowledgement, or a read receipt on your behalf, so contacts see no activity from it.
Does it delete anything from my chat history?
No. Nothing is removed. The original message and file stay exactly where they are, and the archive is a copy filed alongside them.
How does it avoid archiving the same file twice?
It checks the Notion archive before filing, matching on sender, filename, and timestamp, so re-runs and missed days never produce duplicate entries.
Put this on autopilot.
