Triage patient portal messages before they pile up
Throughout the day, WebRun checks Cerbo's patient portal for new messages, sorts each one into routine, meaning scheduling, billing, or a prescription refill, or urgent and clinical, drafts a suggested reply inside the portal for routine messages that a provider reviews before sending, and emails the on call provider right away when a message needs clinical judgment.

How do I triage patient portal messages so urgent ones don't wait?
WebRun checks Cerbo's patient portal every 15 minutes, sorts new messages into routine or urgent and clinical, and drafts a suggested reply inside the portal for routine questions that a provider reviews before sending. Anything urgent triggers an immediate internal email to the on call provider, so clinical messages get a human response fast without any auto reply reaching the patient.
- Urgent clinical messages reach a provider within 15 minutes, not at end of day
- Routine messages get a draft reply ready instead of starting from scratch
- No portal message goes unanswered while the inbox quietly grows

Questions, answered
Will it reply to a patient's portal message on its own?
No. Suggested replies are drafted inside the Cerbo portal and left unsent. A provider reviews and sends each one. Urgent or clinical messages are never auto replied to at all, only flagged internally.
How does it decide what's urgent?
It reads the message content for clinical language and keywords, such as symptom reports, medication concerns, or anything not clearly scheduling, billing, or a routine refill request. Anything ambiguous is routed to urgent by default.
Who receives the urgent alert?
Whichever provider your practice has designated as on call for that day, alerted by internal email with the patient's name and a short summary, never the patient themselves.
