In short

How do I automatically identify and reach out to gym members who stop attending?

WebRun opens Wodify every morning and flags every active member who has not checked in during the past 14 days. It drafts a personal check-in email in Gmail for each and posts coaching staff a Slack worklist sorted by absence length, so at-risk members get a warm, coach-reviewed outreach before they decide to cancel.

  • At-risk members are identified daily before they cancel
  • Every flagged member gets a personal, coach-reviewed check-in draft
  • Coaching staff see an absence-sorted retention worklist each morning in Slack

Questions, answered

Will it email at-risk members without a coach reviewing first?

No. WebRun saves every check-in as a Gmail draft and leaves it unsent. A coach reviews and personalizes each message before it goes out, so members receive a genuine, human note.

How does it define a low-attendance member?

It flags any active, paying member with no Wodify class check-in in the past 14 days. Members absent for 21 or more days are marked critical risk and appear at the top of the Slack worklist.

Does it catch members who attend open gym but skip classes?

It reads all check-in types that Wodify records, including open gym visits, so members who are still coming in through other session types are not incorrectly flagged as absent.
