How do I automatically send appointment reminders to chiropractic patients to reduce no-shows?
Every evening, WebRun opens Jane, pulls the next day's appointments, and drafts a personalised reminder message in Gmail for each unconfirmed patient. Staff review and approve each draft before it is sent. A Slack summary shows the full schedule and how many reminders are queued, so the team is always prepared.
- No-shows drop because every unconfirmed patient gets a timely reminder the night before
- Staff start each day knowing exactly how many patients are confirmed
- Reminder drafts are ready in Gmail so sending takes a single click, not manual typing

Questions, answered
Will it send reminder messages to patients without staff approval?
No. Every reminder is saved as a Gmail draft and left unsent until a staff member reviews and approves it. No patient message goes out automatically.
Does it remind patients who already confirmed their appointment?
No. WebRun checks confirmation status in Jane each run and only drafts reminders for patients who have not yet confirmed, so confirmed patients are not sent duplicate messages.
Can it include specific pre-visit instructions for different appointment types?
Yes. Staff can provide instructions per visit type and WebRun will include the right ones in each draft reminder based on the appointment type pulled from Jane.
