Every morning, WebRun opens Carepatron, finds yesterday's appointments marked as a no-show or a late cancellation, logs each client and their last session date to Google Sheets, and drafts a gentle rebooking email in Gmail for the practitioner to review before it goes out.

In short

How do I follow up with clients who miss a Carepatron appointment?

Every morning, WebRun finds Carepatron appointments marked as a no-show or late cancellation, logs each client to Google Sheets, and drafts a warm rebooking email in Gmail for the practitioner to review. Clients who fall through the cracks get a timely, personal nudge instead of quietly disappearing from the schedule.

  • Missed sessions get a follow-up the next morning, not weeks later
  • Clients who already rebooked are skipped automatically
  • A dated log of no-shows builds up in Sheets without manual tracking

Questions, answered

Will it email clients without the practitioner seeing it first?

No. WebRun only drafts the rebooking email in Gmail. The practitioner reads it, edits if needed, and sends it themselves, nothing goes out on its own.

How does it know a client already rebooked?

It checks the live Carepatron schedule each morning, so a client who already booked a new session is marked resolved and skipped in the drafts.

Does it touch clinical notes or records?

No. It only reads appointment status. It never opens, edits, or drafts anything from a client's notes or health records.

Put this on autopilot.
