Never miss a chargeback deadline again
Every morning, WebRun signs in to Adyen, finds disputes and chargebacks raised since yesterday, captures the amount, reason code, and defence deadline for each, writes them into an Airtable case register with the evidence still needed, and puts every deadline on your Google Calendar with a reminder two days ahead.

How do I track chargeback deadlines so none are missed?
WebRun checks Adyen every morning for new disputes and chargebacks, capturing the payment reference, amount, reason code, and response deadline. It opens a case in Airtable with the evidence checklist and an owner, then puts the deadline on Google Calendar with a two day warning, so no defence window closes unnoticed.
- Every defence deadline is on a calendar with two days of warning
- Each dispute has one owner and one case record
- Evidence gathering starts the day the chargeback lands, not the day it expires

1
Adyen - find new disputes
WebRun opens Adyen to find new disputes. - Sign in to the Adyen Customer Area and open the disputes view
- Capture every dispute raised since the last run with its payment reference, amount, and currency
- Record the reason code, the stage, and the date a response is due
- Pull the original order reference so the case can be matched to your own records
- Note disputes already close to their deadline that are still unanswered
- Read only. Never accept, defend, or submit evidence on a dispute
Done when Every new and open dispute is captured with its amount, reason, and response deadline.
-
2
Airtable - open a case per dispute
WebRun opens Airtable to open a case per dispute. - Open your dispute case register in Airtable
- Create a case row per dispute with the payment reference, amount, reason code, and deadline
- Attach a standard evidence checklist for that reason code so the owner knows what to gather
- Assign the case to the owner on rota and set the status to open
- Update rather than duplicate any dispute already in the register
- Keep a view of cases due inside seven days
Done when Every open dispute has one case row with an owner, a checklist, and a deadline.
-
3
Google Calendar - diarise every deadline
WebRun opens Google Calendar to diarise every deadline. - Add an all-day entry to your team calendar in Google Calendar for each defence deadline
- Title it with the payment reference and the amount at stake
- Set a reminder two days before the deadline so evidence has time to be gathered
- Link the Airtable case in the event description
- Keep the event on your own team calendar. Never invite the cardholder or the bank
Done when Every dispute deadline sits on the team calendar with a two day warning.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it defend or accept a chargeback for me?
No. WebRun never accepts a dispute, submits evidence, or replies to the scheme. It reads the case, opens a tracked record, and diarises the deadline so a person can decide and submit in time.
Does it contact the cardholder or the bank?
No. The calendar entry stays on your own team calendar with no outside invitees, and nothing is emailed or messaged to a cardholder, an issuer, or Adyen support.
What does it do with a dispute already in the register?
It updates the existing Airtable case with the current stage and deadline instead of creating a second row, so each dispute has exactly one record from start to resolution.
