In short

How do I clean up my CRM pipeline before the forecast call?

WebRun cleans your SugarCRM pipeline every Monday before the forecast call. It audits open opportunities for close dates already passed, stages untouched for weeks and deals with no logged activity, builds a per rep cleanup list in Airtable ranked by amount, and files a dated review in Google Drive.

  • The number on the forecast slide reflects reality
  • Each rep gets their own cleanup list, ranked by deal value
  • Deals with no activity for weeks stop inflating the pipeline

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens sugarcrm.com in a real browser with your saved login - no setup, no API keys.

  2. 1
SugarCRM - audit the open opportunities

WebRun in SugarCRM: audit the open opportunities
WebRun opens SugarCRM to audit the open opportunities.
    • Open SugarCRM and list every open opportunity with its account, owner, amount, sales stage and close date
    • Flag opportunities whose close date has already passed but which are still open
    • Flag opportunities whose sales stage has not moved for more than the number of weeks you set
    • Flag opportunities with no logged activity, call or meeting in the recent period
    • Note deals whose amount or stage looks inconsistent, such as a large amount still sitting in an early stage

Done when Every open opportunity has been checked for a past close date, a stale stage and missing activity.

  3. 2
Airtable - build the per rep cleanup list

WebRun opens Airtable to build the per rep cleanup list.
    • Write one row per flagged opportunity into your pipeline hygiene table
    • Fill the owner, account, amount, stage, close date and the reason it was flagged
    • Group the view by rep so each person sees only their own cleanup list
    • Sort by amount so the deals that move the forecast most sit at the top
    • Leave every record as a request for the rep to action. WebRun never edits the opportunity in SugarCRM

Done when Airtable holds a per rep cleanup list ranked by the amount at stake.

  4. 3
Google Drive - file the dated review
drive.google.com How to Automate Google Drive
WebRun in Google Drive: file the dated review
WebRun opens Google Drive to file the dated review.
    • Save a dated pipeline review document into your sales operations folder in Google Drive
    • Summarise how much of the open pipeline is flagged, by count and by value
    • Break it down by rep and by reason so the pattern over weeks is visible
    • Link the Airtable view for the deal by deal detail

Done when A dated pipeline review is filed in Google Drive ready for the forecast call.

Questions, answered

Will it change or close opportunities in SugarCRM?

No. WebRun only reads the pipeline. It never edits a close date, moves a stage, or marks a deal lost, so every correction is made by the rep who owns the deal and the CRM record stays theirs.

Does it message reps about their deals?

No. The cleanup list is written to an internal Airtable view grouped by rep, and the review document goes to Google Drive. WebRun does not email or message reps or customers, so the manager decides how the list is raised.

How stale does a deal have to be before it is flagged?

You set the thresholds, for example a close date more than a day in the past, a stage untouched for three weeks, or no logged activity in two weeks. Each opportunity is flagged with the specific reason so nothing is guesswork.

Put this on autopilot.
