How do I chase employees for missing expense receipts automatically?
WebRun opens Soldo every morning, finds card transactions still missing a receipt or category, and messages each cardholder in Slack with only their own outstanding items. It then sends you a Telegram summary showing the total unreceipted value, the trend, and anyone whose oldest item has passed 14 days.
- Receipts arrive during the month instead of at close
- Each person is nudged privately about their own spend only
- You see the backlog value and its direction every morning

What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens

1
Soldo - find spend with no receipt
WebRun opens Soldo to find spend with no receipt. - Open Soldo and filter transactions to those missing a receipt or a category
- Capture the cardholder, merchant, amount and transaction date for each
- Group them by cardholder and note how many days old the oldest item is
Done when Every unreceipted transaction is listed against the cardholder who made it.
-
2
Slack - nudge each cardholder
WebRun opens Slack to nudge each cardholder. - Send each cardholder a Slack message listing only their own missing receipts
- Show merchant, amount and date so they can find the receipt without opening Soldo
- Keep the tone light for items under a week old and firm for anything past the month end cut-off
Done when Every cardholder with a gap has been nudged in Slack.
-
3
Telegram - summarise what is outstanding
WebRun opens Telegram to summarise what is outstanding. - Send yourself a Telegram summary with the total value of unreceipted spend
- Break it down by cardholder and show the change since yesterday
- Flag anyone whose oldest item has passed 14 days
Done when You know the size of the receipt backlog and who is holding it up.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it freeze cards or block anyone's spending?
No. WebRun only reads transactions and sends reminders. It never freezes a card, never changes a spending limit, and never moves money. Those decisions stay with your finance team.
Who sees the nudge?
Only the cardholder. Each Slack message lists that person's own missing receipts and nobody else's. The full backlog goes to you alone on Telegram, so nobody is called out in a shared channel.
What if someone uploads the receipt later that day?
It reads live Soldo status on every run, so anything receipted since the last check simply drops off the list and the person is not nudged again.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
