How does it know what a new rep should have access to?

It compares their access against the standard checklist for their role, so the check reflects what your team has already defined as necessary, not a generic guess.

Does the tracker update once access is granted?

Yes, the Airtable entry reflects the rep's current access status, so once a missing collection is granted, the checklist updates to show it as resolved.
