Handle damage deposits fairly and without the paperwork

Every morning, WebRun opens Booqable and finds rental orders closed since yesterday, checks each for damage notes or inspection flags, drafts either a deposit return email or a damage charge notice in Gmail based on the outcome, and posts a Slack summary of pending deposit decisions for staff to review and action.

In short

How do I automatically handle damage deposit returns and charges after a rental?

WebRun reviews closed Booqable orders every morning, checks each for damage notes, and drafts the appropriate deposit action in Gmail: a return confirmation for clean orders or a charge notice for damaged ones. It then surfaces all pending decisions in Slack for your team to review. No money moves until a human approves.

  • Every closed rental has a deposit decision drafted before the day starts
  • Damage cases surfaced separately so nothing slips through unreviewed
  • No deposit charged or released without explicit staff approval

Questions, answered

Will it charge a customer's card or release a deposit automatically?

No. WebRun only drafts the email notice and surfaces the decision in Slack. A staff member must review and explicitly action any charge or release in Stripe. No money moves without human approval.

How does it decide between a return and a damage charge?

It reads the damage notes and inspection flags on each closed Booqable order. Clean orders get a return draft. Orders with damage notes get a charge draft. Your team reviews both before anything is sent or processed.

What if the damage assessment is still in progress when the run fires?

Any order with an unresolved or pending inspection status is flagged separately in the Slack summary so staff know to complete the assessment before actioning the deposit.
