In short

How do I automatically ask members for online reviews after a lesson or clinic?

WebRun opens CourtReserve every morning, finds members who completed a lesson or clinic the day before, and drafts a friendly review request email for each eligible member in Gmail. Staff review and approve every draft before it is sent. A summary of drafts ready for approval is posted to Slack each day.

  • Every instructor-led session generates a review request the next morning
  • Members are never asked twice within 30 days, keeping outreach respectful
  • Staff approve every draft so the review ask always matches the club's voice

Questions, answered

Will it email members asking for a review without staff approval?

No. Every review request is saved as a Gmail draft for staff to review and approve. No member receives an outreach email until a human signs off.

Does it avoid asking the same member repeatedly?

Yes. It checks whether a member received a review request in the past 30 days and skips them if so, keeping the cadence respectful.

Which sessions trigger a review request?

It covers all completed lessons and clinics in CourtReserve from the previous day. Standard court bookings are excluded since a session with instruction is the most review-worthy experience.
