Stop patients dropping out mid plan-of-care

Every morning, WebRun opens WebPT, finds every active plan of care with unused authorized visits and no future appointment on the books, and drafts a personalized outreach message for each patient. Staff review and send the drafts, keeping dropout rates low without adding chart-review time.

In short

How do I automatically identify PT patients at risk of dropping out mid plan-of-care?

Every morning, WebRun scans WebPT for active plans of care with unused authorized visits and no upcoming appointment, then drafts a personalized outreach message in Gmail for each at-risk patient. Staff review and send the drafts, and a Slack summary keeps the whole team informed, reducing mid-plan dropout without extra chart-review work.

  • At-risk patients are identified and outreach is drafted before the day begins
  • Staff spend zero time manually reviewing schedules for dropout risk
  • No patient-facing message goes out without staff review

Questions, answered

Will it send messages to patients automatically?

No. WebRun drafts every patient-facing message in Gmail and leaves it unsent. A staff member reviews and sends each one. No patient communication goes out without human approval.

How does it know which patients are at risk?

It reads each active plan of care in WebPT, counts remaining authorized visits, and flags anyone with no future appointment on the schedule. Plans that are complete or on hold are skipped.

What if a patient already called to reschedule?

WebRun reads the live schedule in WebPT each morning, so anyone who booked overnight or earlier that day is excluded from the list automatically.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
