Chase the timesheets nobody filled in

Every Friday afternoon, WebRun opens the shared timesheet workbook in Excel Online, checks each person's row for the days they have not filled in, totals the hours logged against the hours expected, sends the team a WhatsApp message naming who still has gaps, and puts the submission cut-off on the calendar so payroll is not chasing on Monday morning.

In short

How do I chase missing timesheet entries in a shared Excel workbook?

WebRun opens your shared timesheet workbook in Excel Online every Friday, checks each person's row for missing days, and totals hours logged against hours expected. It sends the team a WhatsApp gap list naming who is short and puts the submission cut-off on Google Calendar with the list attached.

  • Missing timesheet days are named before the Friday cut-off
  • Payroll starts Monday with a complete workbook instead of a chase
  • Nobody's hours are ever entered by automation

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.office.com/launch/excel in a real browser with your saved login - no setup, no API keys.

    • Open Excel Online from Office and load the shared timesheet workbook
    • Go to the sheet for the current week and read every person's row
    • Mark each working day left blank and each day whose hours fall short of the expected total
    • Add up hours logged against hours expected for each person and for the team
    • Note rows with obvious errors, such as hours logged on a public holiday or a total above 24 for one day
    • Read only. WebRun never types hours into somebody else's row

    • State the cut-off time and link the workbook so filling it in takes one tap
    • Say plainly when everyone is complete, so a clean week gets a clean message
    • Keep the message inside the team group. WebRun never messages a client or a contractor's customer

Done when The team group has this week's gap list with the cut-off time.

  4. 3

    • Put the current gap list in the event description so the state is visible when the reminder fires
    • Add a short follow-up slot on Monday morning for whoever runs payroll, without guests
    • Skip the follow-up slot entirely when every row is already complete

Done when The cut-off and any follow-up slot are held on the calendar with the gap list attached.

Questions, answered

Will it fill in hours for people who forgot?

No. WebRun reads the workbook and reports the gaps. It never types hours into a row, never edits a formula, and never changes a total, so the timesheet only ever contains what a person entered themselves.

Who gets the reminder?

Your internal team group on WhatsApp, and nobody else. The message names the people with gaps and the hours short. WebRun does not message clients, contractors' customers, or anyone outside the group.

What happens when everyone is up to date?

The message says the week is complete and no follow-up slot is created. A clean week takes one line, so the reminder does not turn into noise people stop reading.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
