In short

How do I automatically reach out to music students who stopped coming to lessons?

Every Monday, WebRun scans Opus1.io for students who have not attended a lesson in 30 or more days with no withdrawal on record, drafts a warm, personalised winback email for each family in Gmail, and posts a Slack summary for your review. No message is sent until you approve, giving you a weekly winback pipeline without any manual digging.

  • Lapsed students are identified and outreached within a week, not months later
  • Each winback email is personalised to the student, instrument, and teacher
  • No contact goes out without admin approval

Questions, answered

Will it contact lapsed families without my approval?

No. Every winback message is saved as a Gmail draft. WebRun posts a Slack summary so you can review each one before deciding to send.

What is the lapse threshold and can I change it?

The default is 30 days with no attended lessons and no withdrawal. You can adjust the threshold in your WebRun settings to suit your studio's policy.

How does it handle students who formally withdrew?

Students with a withdrawal record in Opus1.io are excluded from the lapsed list, so only unresolved drop-offs receive the winback outreach.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
