Chase missing charges before they become lost revenue

Every morning, WebRun opens AdvancedMD, compares the prior day's completed appointments against posted charges, identifies any encounter with no charge entry, and drafts a follow-up message to the responsible provider for your billing team to review and send before the charge capture window closes.

In short

How do I automatically catch and chase missing charges from provider encounters?

Every morning, WebRun opens AdvancedMD, compares yesterday's completed appointments against posted charges, and identifies every encounter with no charge entry. It posts an internal Slack alert with the count and revenue at risk, then drafts a follow-up email for each provider. Your billing team reviews and approves every draft before it is sent.

  • Missing charges are caught the next morning before the timely-filing window opens
  • Estimated revenue at risk is visible in Slack before the billing day starts
  • Provider chasers are reviewed by a human before any message is sent

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens providerportal.advancedmd.com in a real browser with your saved login - no setup, no API keys.

  2. 1

    • Identify any appointment with a completed or checked-out status but no associated charge posted
    • Note the provider name, patient name, appointment date, and appointment type for each missing charge

    • Draft a polite follow-up email for each provider with one or more missing charges
    • List the specific patient names and appointment dates where charges have not been posted
    • Save each draft without sending so the billing team can review, adjust the tone, and approve before the email is sent to the provider
    • Do not send any provider communication without billing team review and approval

Done when A Gmail draft chaser exists for every provider with missing charges, ready for billing team review.

Questions, answered

Will it email providers without my team reviewing first?

No. Every chaser is saved as a Gmail draft. Your billing team reviews and approves each message before it goes to a provider. Nothing is sent automatically to a provider.

How far back does it look for missing charges?

It checks the previous day's completed appointments each morning, keeping the window tight so you chase missing charges before the timely-filing clock starts running. You can extend the lookback window if needed.

What if a charge was posted late, after the run?

It reads the live charge log in AdvancedMD each morning, so any late charges posted after yesterday's run are already reflected and those encounters are excluded from today's list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
