Kick off a consistent onboarding sequence for every new MCA merchant

When a new advance is marked as funded in Centrex, WebRun prepares the merchant's welcome packet and ACH authorisation envelope in DocuSign, schedules a 30-day check-in meeting in Google Calendar, and drafts the welcome email in Gmail for a team member to review and send, so every new merchant gets a consistent, professional onboarding from day one.

In short

How do I automatically kick off onboarding when a new MCA merchant is funded?

When a new advance is funded in Centrex, WebRun prepares the merchant's welcome packet and ACH authorisation in DocuSign, schedules a 30-day check-in in Google Calendar, and drafts the welcome email in Gmail. Every item waits for the account manager to review and send, so onboarding is consistent but never automated without oversight.

  • Every new merchant gets the same professional onboarding sequence from day one
  • Account managers never miss a 30-day check-in with a new merchant
  • No welcome email or DocuSign envelope reaches a merchant without team review

Questions, answered

Will it send the welcome email or DocuSign envelope to the merchant automatically?

No. Both the Gmail welcome email and the DocuSign envelope are saved as drafts for the account manager to review and personalise before sending. Nothing reaches the merchant without human sign-off.

What if the advance has two account managers?

WebRun assigns the primary account manager from the Centrex record. If co-ownership is needed, the account manager can update the calendar event and copy a colleague on the Gmail draft before sending.

Can we customise the welcome email and ACH authorisation templates?

Yes. When setting up the workflow, you provide your own Gmail draft template and DocuSign template, and WebRun pre-fills them with the merchant's details from Centrex on every run.
