Review the files and folders you are still sharing
Every Monday, WebRun signs in to Jottacloud, lists every file and folder that still has a share link open, records each one in Airtable with how long the link has been live, and sends you a Telegram review with the oldest links first so sharing from finished projects gets switched off.

How do I find out which files I am still sharing publicly?
WebRun reviews your Jottacloud sharing every Monday. It lists every file and folder with a live share link, records each one in Airtable with the date it was shared, and sends you a Telegram review with the oldest links first, so sharing from finished projects gets switched off.
- Links from finished projects are found and closed each week
- Every share carries its age, so stale links stand out
- The register keeps a history of what was shared and when

WebRun signs in and gets to work
Opens

1
Jottacloud - list live share links
WebRun opens Jottacloud to list live share links. - Sign in to Jottacloud and open the shared files and folders view
- Capture every item with a live link: its name, whether it is a file or a folder, and the date it was shared
- Note the folder it sits in so a client or project name is visible without opening the file
Done when Every live share link is listed with its item and share date.
-
2
Telegram - send the sharing review
WebRun opens Telegram to send the sharing review. - Send the review to your Telegram with the oldest share links at the top
- Show each item's name, its parent folder, and how many days the link has been live
- Call out anything shared more than 90 days ago as a likely leftover from finished work
Done when You have this week's sharing review on Telegram.
-
3
Airtable - track link age over time
WebRun opens Airtable to track link age over time. - Open the sharing register base in Airtable
- Add or update a row per shared item with its path, share date, and days live
- Mark rows whose links have since been removed as closed. WebRun never revokes a link, moves a file, or deletes anything
Done when Airtable holds a current row for every live share link.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it switch off a share link itself?
No. Revoking a link can break something a client is still using, so WebRun stops at the review. You see the item, its age, and its folder, and you turn the link off yourself in Jottacloud.
How does it know which links are stale?
It reads the share date on every link and reports days live, oldest first. Anything past the age you set, commonly 90 days, is called out as a likely leftover from finished work.
Does it open or copy my files?
No. It reads the sharing view only: file and folder names, their location, and the share date. File contents are never opened, downloaded, or copied anywhere.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
