In short

How do I organise and share meeting recordings automatically?

WebRun files your join.me recordings every night. It collects the day's recordings with the meeting name, date, length and attendees, records each one in Airtable with its existing share link, and publishes a Notion index grouped by meeting, so colleagues who missed a session catch up unaided.

  • Yesterday's recordings are filed and findable by breakfast
  • Colleagues who missed a meeting catch up without asking anyone
  • Sharing settings are never changed and duplicates are never filed twice

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens join.me in a real browser with your saved login - no setup, no API keys.

  2. 1
    join.me - collect the day's recordings
    join.me
WebRun in join.me: collect the day's recordings
WebRun opens join.me to collect the day's recordings.
    • Open join.me and list the recordings made today
    • Read the meeting name, date, start time and length for each one
    • Record who attended, so the people who missed it can be worked out
    • Copy the existing share link for each recording
    • Never change a recording's visibility or make one public. Sharing settings stay as you left them

Done when Every recording from today has its meeting details and share link captured.

  3. 2
Airtable - file each recording with its details
    airtable.com How to Automate Airtable
WebRun in Airtable: file each recording with its details
WebRun opens Airtable to file each recording with its details.
    • Add one record per recording to the meeting archive
    • Fill the meeting name, date, length, attendees and share link
    • Tag the record with the recurring meeting it belongs to
    • Skip any recording already filed, so a rerun never duplicates a row

Done when Today's recordings each have a single row in the archive.

  4. 3
Notion - publish the catch-up index
    notion.so How to Automate Notion
WebRun in Notion: publish the catch-up index
WebRun opens Notion to publish the catch-up index.
    • Update the internal catch-up page with tonight's recordings
    • Group them under the recurring meeting each belongs to, newest first
    • Show the length and who attended so people can judge what to watch
    • Keep the page internal. Sending a recording to a customer or partner is left for a human to do

Done when The team can find last night's recordings in one internal page.

Questions, answered

Will it make a recording public?

No. WebRun copies the share link a recording already has and never changes its visibility or sharing settings. A private recording stays exactly as private as you left it.

Does it send recordings to customers?

No. The index is internal, in your own Notion and Airtable. Sending a recording to a customer or partner is left for a person to do, so nothing leaves the company on its own.

What if the same meeting is recorded twice?

Both recordings are filed as separate rows under the same meeting, newest first, and a recording already in Airtable is skipped, so a rerun never creates a duplicate.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
