Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order — in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens mail.google.com in a real browser with your saved login — no setup, no API keys.

  2. 1

    • Compare each sender's email domain and address against your VIP list
    • For any VIP match, read the subject line and first paragraph to generate a one-line summary
    • Apply a 'VIP — Urgent' label in Gmail so the email is easy to spot in the inbox

Done when All VIP emails since the last check are identified, labelled, and summarised.

  3. 2
Slack — alert the assigned team member immediately
    slack.com
WebRun in Slack: alert the assigned team member immediately

    • Look up the assigned account owner for each VIP sender from your routing table
    • Send a DM to the owner: 'VIP email from [Sender] — [Subject]: [One-line summary]. Please respond promptly.'
    • For senders without an assigned owner, post to #vip-alerts so the whole team sees it

Done when The right person has been alerted in Slack for every VIP email detected.

  4. 3
Google Sheets — log every VIP email arrival
    google.com
WebRun in Google Sheets: log every VIP email arrival

Done when Every VIP email is logged with its alert status for the audit trail.

Good to know

Questions, answered

Will it reply to VIP emails automatically?

No — it only reads, labels, and alerts. Replies are always written and sent by your team. The whole point is to make sure a human responds quickly, not to replace them.

How do I manage the VIP list?

Keep a tab in the log sheet with the VIP email addresses and their assigned owners. WebRun reads it on every run, so adding or removing someone takes effect immediately.

What if a VIP sends multiple emails in quick succession?

Each email is alerted separately so nothing is missed. Duplicate alerts for the same thread within an hour are suppressed to avoid noise.

Put this on autopilot.

Turn it on in minutes — or have our team set it up for you.
