How do I reactivate HBOT patients who stopped coming in?
Every Monday, WebRun checks Intellicure for active patients with an incomplete protocol and no dive logged in 21 days, excludes anyone formally discharged, and logs the rest to a Google Sheets reactivation tracker. It drafts a warm check in email per patient in Gmail asking about scheduling their remaining sessions, leaving every message for your front desk to review and send.
- Lapsed patients get a check in draft within a week of stalling instead of being forgotten
- Front desk reviews a ready-to-send message instead of scanning charts for gaps
- Discharged patients are excluded automatically so no one gets a needless outreach
Built for HBOT front desk staff · hyperbaric practice managers · wound care centers · patient retention coordinators

How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will lapsed patients be contacted automatically?
No. WebRun only drafts the check in email in Gmail. Your front desk reviews and sends it, so no patient is contacted about restarting care without a person approving the message first.
How long does a patient have to be away before they're flagged?
21 days without a logged dive and without a formal discharge on file triggers the flag by default, though you can shorten or lengthen that window to match your clinic's own follow up policy.
What if a patient was formally discharged instead of lapsed?
It excludes anyone marked as discharged or protocol complete in Intellicure, so only patients who stopped mid protocol without explanation land on the reactivation list.
