Reconcile scale tickets against what you actually dispatched

Every evening, WebRun opens Trux, matches each scale ticket generated on load-out against the loads that were dispatched, cross-checks each against what has been invoiced in QuickBooks, and records an exceptions worksheet in Google Sheets covering dispatched loads with no ticket, tickets never invoiced, and weight or material mismatches so nothing slips before billing.

In short

How do I automatically reconcile scale tickets against the loads I dispatched?

WebRun opens Trux every evening and matches the day's scale tickets against the dispatched loads by truck, jobsite, and time. It cross-checks each against invoiced amounts in QuickBooks and records an exceptions worksheet in Google Sheets, flagging loads with no ticket, tickets never billed, and weight mismatches, so billing starts from clean, reconciled numbers.

  • Missing scale tickets caught before they become lost revenue
  • Hauled loads that were never invoiced flagged nightly
  • A daily matched-tons figure against dispatched and invoiced tons

Questions, answered

What counts as an exception?

A dispatched load with no scale ticket, a scale ticket with no dispatched load, a hauled ticket never invoiced, or a weight or material mismatch. WebRun lists each with its reason so billing starts from clean data.

Does it change any ticket, load, or invoice?

No. WebRun only reads and compares the tickets, loads, and invoices across Trux and QuickBooks and records the exceptions in Google Sheets. Any correction stays a human decision.

When should it run?

Run it each evening after hauling ends so the day's tickets are complete. That way the exceptions worksheet is ready before invoices are finalized the next morning.
