In short

How do I automatically follow up with customers before their repair warranty expires?

Every morning, WebRun scans RepairDesk for completed repairs whose warranty is ending within 7 days, drafts a warm check-in message in Gmail for each customer, and posts your team a Slack alert with links to each draft. Staff review and send the messages before the warranty lapses, building goodwill and catching issues early.

  • Customers are proactively contacted before their warranty lapses, not after they complain
  • Warranty issues surface while coverage is still active, avoiding costly disputes
  • A genuine check-in builds loyalty and increases the chance of repeat business

Questions, answered

Will it contact customers automatically without anyone checking first?

No. Every warranty check-in is left as a Gmail draft. A staff member reads and sends it, so the message is reviewed before the customer receives anything.

How long a warranty window does it look ahead?

The default is 7 days. You can adjust this to any window that suits your shop, for example 14 days for a longer heads-up or 3 days if you prefer a tighter prompt.

What if the customer already came back with a warranty issue?

WebRun checks the ticket history in RepairDesk and skips any customer who already has an open warranty claim, so you do not send a check-in that overlaps with an active complaint.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
