How do I automatically reach out to students who stopped coming to dance class?
WebRun checks Jackrabbit Dance every Monday for active students with no attendance in 30 or more days, drafts a warm personal re-engagement email for each family in Gmail, and posts your team a Slack winback list sorted by days absent. Staff review and send the drafts, so lapsed families hear from you before they forget the studio.
- Lapsed families are contacted within a week of the 30-day absence threshold
- Each re-engagement email is personalised to the student's class and last visit
- No family is contacted without staff approval, keeping the tone warm and considered

Questions, answered
Will it email lapsed families automatically?
No. Every re-engagement email is saved as a Gmail draft for staff to review and send. Nothing reaches a family without your team approving it first.
How does it know a student is lapsed rather than simply withdrawn?
It checks the student status in Jackrabbit Dance and excludes anyone formally withdrawn or on approved leave. Only active students with no recent attendance are included.
What if a lapsed family decides to return?
Once a student attends again, their last-attendance date updates in Jackrabbit Dance and they are automatically removed from the following Monday's winback list.
