In short

How do I automatically schedule chamber ribbon-cutting ceremonies for new members?

When a new member requests a ribbon-cutting ceremony in ChamberMaster, WebRun checks Google Calendar for open slots, drafts a scheduling email with three date options, creates tentative calendar holds, and alerts the events team in Slack. Staff approve the draft before it reaches the member.

  • Every ribbon-cutting request gets three date options drafted and calendar holds placed within minutes
  • Events staff skip the back-and-forth and just review the draft
  • No ceremony request sits unattended because it got buried in email

Questions, answered

Will it send the scheduling email to the member without staff approval?

No. Every scheduling email is drafted in Gmail and left unsent. Staff review the proposed dates and the message before it goes to the new member, so the chamber controls every client-facing communication.

What if none of the three proposed dates work for the member?

Staff can simply adjust the draft with alternative dates from Google Calendar before sending. The tentative holds placed by WebRun can be removed or moved by the events coordinator.

Does it confirm the ceremony once the member picks a date?

WebRun handles the initial scheduling draft and calendar holds. Once a date is confirmed by the member, staff update the calendar event and send a confirmation. Automating the confirmation step can be added as a follow-on workflow.

Put this on autopilot.
