Move unused licenses to people who will use them

Every Monday, WebRun opens your Babbel team account, reads the seat ledger, finds licenses assigned to people who never accepted their invitation or have completed no lessons in months, posts the reclaim list to Slack, and drafts a Gmail note per person so nobody loses a seat without a warning.

In short

How do I find unused Babbel licenses before renewal?

Every Monday WebRun opens your Babbel team account, reads the seat ledger, and finds licenses held by people who never accepted their invitation or have completed no lessons in months. It posts the reclaim list to Slack and drafts a warning email per learner in Gmail, so renewal spend covers people actually learning.

  • Idle seats surface weekly, not the day before renewal
  • Never registered invitations are counted separately from dormant learners
  • Every candidate gets a drafted warning before a seat moves

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.babbel.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Babbel - read the seat ledger
    babbel.com
WebRun in Babbel: read the seat ledger
WebRun opens Babbel to read the seat ledger.
    • Open your Babbel team account and list every assigned license
    • Separate learners who accepted their invitation from those who never registered
    • Read completed lessons and last activity for each active learner
    • Flag seats with no activity in the window you set, by default 60 days
    • Note how long each invitation has been outstanding
    • Revoke nothing. WebRun reads the ledger and leaves every seat change to your admin

Done when Every assigned license is classed as active, dormant, or never registered.

  3. 2
Slack - post the reclaim list

    • Post the counts: seats assigned, actively used, dormant, and never registered
    • List the reclaim candidates with their last activity date
    • Show how many seats would be freed and put the longest dormant first
    • Note how many weeks are left before the renewal date

Done when The learning and development channel has this week's reclaim list.

  4. 3
Gmail - draft a warning per learner
    gmail.com How to Automate Gmail
WebRun in Gmail: draft a warning per learner
WebRun opens Gmail to draft a warning per learner.
    • Draft a short, friendly note to each reclaim candidate offering them a chance to keep the seat
    • Include their last activity date and the date the seat would be reassigned
    • Save each one as a draft in Gmail for the admin to review
    • Send nothing on its own. A person presses send on every message

Done when One drafted warning per reclaim candidate is waiting in Gmail.

Questions, answered

Will it revoke someone's licence or email them without me?

No. WebRun reports the seat ledger to Slack and leaves a drafted warning email in Gmail for each candidate. Removing a seat and sending the note both stay a human decision by your admin.

How long does someone have to be inactive to be flagged?

Sixty days by default, and you can set any window. Every flagged learner shows their last activity date and completed lesson count, so a slow but real learner is easy to spot and keep.

Does it count people who never accepted the invitation?

Yes, and separately. Invitations never accepted are the easiest seats to reclaim, so they are listed apart from learners who started and then went quiet.
