Reclaim seats nobody uses before the renewal

Every Monday, WebRun signs in to your Articulate 360 team, lists every seat with the person holding it and the date they last opened or edited a course, drafts a short Gmail check in for anyone dormant, and posts Slack the count of idle seats alongside the renewal date.

In short

How do I find unused software seats before a subscription renews?

WebRun signs in to your Articulate 360 team every Monday, lists each seat with its holder and the date they last worked on a course, and flags anyone dormant for 60 days. It drafts a Gmail check in for a manager to approve and posts the seat and renewal picture to Slack, so you renew for the seats you need.

  • Dormant seats are named weeks before the renewal date, not after
  • Every seat carries a real last activity date instead of a guess
  • Check in emails are written and waiting, so the manager only has to approve

Questions, answered

Will it email people or remove their seat?

No on both. Check in emails are left as unsent Gmail drafts for a manager to review, and WebRun never removes a member, reassigns a seat, or changes the subscription.

What counts as a dormant seat?

A seat whose holder has not opened or edited a course in 60 days. The report shows the exact last activity date, so a borderline case is a judgement you make, not one WebRun makes.

Does it tell me when the subscription renews?

Yes. Every Slack post carries the renewal date and the days remaining next to the dormant seat count, so the audit lands with enough time to act on it.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
