Keep every design handoff logged and chased

Every morning, WebRun opens Adobe Illustrator on the web, lists the documents changed since the last run with who touched them and when, updates the matching job row in Airtable, and writes a handoff note in Notion for each file that is now waiting on a review.

In short

How do I track which design files are ready for review?

WebRun opens Adobe Illustrator every morning, lists the cloud documents changed since the last run with their owner and time, and updates the matching job row in Airtable. It then writes a dated Notion handoff note naming which files are ready for review and which jobs have gone stale.

  • Ready-for-review files are named every morning
  • Stale jobs surface before a client asks about them
  • Work happening outside the tracker gets a row on day one

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens illustrator.adobe.com in a real browser with your saved login - no setup, no API keys.

  2. 1

    • Open Adobe Illustrator on the web and review your cloud documents
    • Capture every file modified since the last run with its name, owner, and last-modified time
    • Note which project folder each file sits in
    • Read only. Never edit, rename, or delete a document

Done when Every file touched since the last run is listed with its owner and time.

  3. 2
Airtable - update the job tracker

    • Open your Design Jobs base in Airtable
    • Match each changed file to its job row by project or file name
    • Update the Last Touched date and move the status forward where the file is now ready for review
    • Create a row for any file with no matching job so nothing works in the dark

Done when Every changed file maps to a current Airtable job row.

  4. 3
Notion - write the handoff note

WebRun in Notion: write the handoff note
WebRun opens Notion to write the handoff note.
    • Create a dated handoff note in your Design Handoffs page in Notion
    • List the files now waiting on a reviewer and who they are waiting on
    • Flag any job untouched for longer than your stale threshold
    • Keep it internal. Never send artwork to a client from this run

Done when Today's handoff note lists what is ready for review and what has gone stale.

Good to know

Questions, answered

Does it change my artwork?

No. WebRun opens Adobe Illustrator read only. It never edits a path, renames a document, or deletes a file. It records which files moved and when, and everything else stays with your designers.

Will it send files to clients?

No. All notes stay in your Airtable base and your Notion page. If you want a client update, WebRun drafts it and a person approves and sends it, so nothing reaches a client unreviewed.

What happens to a file with no matching job?

It gets a new Airtable row marked as unmatched. That way work happening outside the tracker shows up on day one rather than being invisible until invoicing.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
