How to Automate InspectAll
InspectAll turns an inspection into a record. Forty cranes in one plant are forty separate clocks
InspectAll is inspection software in two halves: a mobile app for the person doing the walk, and a web app for everyone who has to prove afterwards that the walk happened. Safety and EHS teams use it, so do utilities and manufacturers, and so do the service companies that inspect other people's equipment for a living.
Overhead cranes show what it is for more clearly than most. A single plant might have forty lifting devices, from a two-ton jib over a workbench to a bridge crane spanning a bay, and each one carries frequent inspections at daily to monthly intervals and periodic inspections running monthly to annual, against OSHA 1910.179, ASME B30.2 and CMAA Specification 75. In InspectAll every crane is an asset, filed by Account, Location and Area, carrying its model and serial number. The asset is what decides which form the inspector is handed when they arrive.
Somebody else's compliance file is where the report has to land
The walk itself is the part that is under control. What surrounds it is not. Load tests and wire rope certificates run on their own renewal clocks. The customer wants the certificate in their file rather than yours, which usually means uploading a document into a portal their safety team runs and getting no confirmation that it stuck.
A hoist that failed on Tuesday becomes a repair somebody has to quote, source a part for and come back to fit. A plant with a shutdown week wants its whole bay done inside it, and that week is announced on their site, not yours. Then the reminder cycle underneath all of it: forty assets across nine customers, every one on its own interval, and one person keeping a spreadsheet of who is due and who has already slipped past due. None of that is inspecting. All of it decides whether the inspection happens on time.
The Form Builder decides what the inspector is asked
InspectAll is strong at the part it owns, and the setup is worth finishing before adding anything around it. The Form Builder rebuilds an existing Word or Excel checklist as a digital form, or you start from the pre-built frequent and periodic crane inspections and have an inspector working on day one. Asset Management organises everything by Account, Location and Area, with GPS, serial numbers, barcodes, QR codes and RFID tags, so a crane is scanned rather than hunted for. Photos are annotated on the phone, canned responses cut the typing, and reports come out in one click to Excel, Word or PDF, prioritised so hazards and defects sit at the top with the images attached. The app generates and manages the certificate process itself.
All of that acts on the inspection in front of it. What it will never do is go and look at something that is not an InspectAll record: the customer's compliance portal, the distributor's parts page, the shutdown calendar, the purchase order that has to exist before a corrective can be booked.
Findings that reach the customer's system, not just a folder
An asset list that can reach past your own database changes what a week looks like. Certificates coming up for renewal read against the customer's own compliance portal, so a gap between your record and theirs is visible to you before it is visible to an auditor. A finished report uploaded into the safety system your customer actually reads, filed under the right site.
Failed items from last quarter checked against what happened next: the gearbox that came back red in March either has a purchase order behind it or it does not, and the difference is one login. Wire rope and load test dates counted down per crane and per account in a single list. Parts for a corrective priced on the distributor's site before you promise the customer a return date. A plant publishing its shutdown week, and the assets in that bay lining themselves up against it. Every one of those is a person opening a website, reading one field and typing it somewhere else.
The certificate is the inspector's, the fetching is not
Signing a crane off is a qualified person's judgement and it stays that way. Opening nine customer portals to work out which certificates they are missing is not judgement, it is a chore with a login attached. Questions people ask
Our inspectors already fill the forms on site. What is left over?
Everything downstream of the form. InspectAll captures the inspection and produces the report. Getting that report into the customer's own compliance system, tracking whether the failed item was ever quoted, and watching the next interval across every account are all jobs done on other websites, and those are the ones an agent picks up.
Will it upload a certificate to a customer's portal by itself?
Only if you let it, and the safer default is that it does not. Reading portals to find gaps runs unattended. The upload itself is prepared, shown to you with the site and document named, and released by a person, because a filed certificate is a compliance claim you are making.
Some of our customers use portals with no export at all. Does that matter?
No. An agent signs in and works the page the way your coordinator does, clicking through the same screens. A portal with no API, no export and no integration is read exactly like any other website, which is usually the reason the checking never got automated before.
